AI Manager
The AI Manager is your AI account manager, an assistant that can search across your workspace, summarize threads, draft replies, and answer questions about your clients and projects.
Where to find it
Click the AI button in your workspace to open the AI Manager floating panel. The keyboard shortcut is ⌘J (or Ctrl+J on Windows). For a full-page experience, navigate to Assistant in the left sidebar.
What it can do
The AI Manager has read access to your workspace's content and can answer questions, summarize threads, and draft replies grounded in your actual work. You can ask it things like:
- "What's the status of the Acme website project?"
- "Summarize what's been said in the chat with Jane this week."
- "Draft a reply to the last message from the Westwood folks."
- "Which invoices are still unpaid?"
It works best when you give it specific context, names of clients, projects, or features, rather than vague questions. Treat it like a junior team member: more direction, better answers.
What it can't do
The AI Manager isn't visible to your clients, it's an internal tool only. It also doesn't take actions automatically; if it drafts a message, you still send it. If it suggests creating a task, you still confirm. This is intentional, you stay in the loop on anything that affects a client.
Bring your own key (BYOK)
By default, AI Manager runs on Almox's pooled AI credits, see Plans for the current allocations. If you'd rather use your own OpenAI or Anthropic key, you can connect it from Settings > AI Manager > BYOK (AI Keys).
With BYOK, requests go through your provider account directly. This is useful if you want:
- Fine-grained billing visibility (every request shows up on your provider invoice)
- The ability to choose specific models, GPT-4 vs GPT-5, Claude Sonnet vs Opus, etc.
- Higher rate limits than the shared pool gives you
You can switch between Almox-pooled and BYOK at any time from settings.
