A grab-bag of common issues and how to resolve them.

A client says "I can't sign in"

Check the basics first:

  • Are they at the right URL? (Your portal URL, not your workspace dashboard)
  • Have they been added as a client in your Clients list?
  • Is their status Active (they accepted the invite) or still Invited (they haven't yet)?

If they accepted the invite but still can't sign in, the simplest fix is to point them at the magic link option on the sign-in page. It bypasses password issues entirely.

An invoice email didn't arrive

  • Check the client's spam folder first
  • Verify the email on the invoice matches the address they actually check
  • If you're using a custom email domain, make sure SPF and DKIM are correctly configured at your DNS, incorrect records cause silent delivery failures

If invoices to a specific domain (e.g., @bigcorp.com) keep failing, that domain may have aggressive filtering. Consider sharing the invoice URL through chat or directly so the client can pay regardless of email.

A payment didn't go through but the client thinks it did

  • Check Billing > Invoices for the invoice status. If still Sent or Pending, the payment didn't complete from Almox's side.
  • Check your provider dashboard (Stripe, Razorpay, Mollie) for the actual transaction. If it shows as failed there, the client's bank declined.
  • If the provider shows it as succeeded but Almox shows the invoice as unpaid, contact us, that's a sync issue we should look at.

A client got a duplicate email

This usually happens when an automation runs twice. Check the automation's Run history, if you see two runs for the same trigger event, one of them is a duplicate. Common causes: two automations with overlapping triggers, or someone re-triggering the event manually. Audit your automations to deduplicate.

My custom domain says "Verifying" forever

See Custom domain, frequently asked questions. Most often it's a CNAME record that hasn't been added at the registrar, or Cloudflare with the proxy enabled (orange cloud).

I can't find a feature mentioned in the docs

The feature may live in a different sidebar than you expect. Quick check:

  • Most "running your business" tools (clients, invoices, contracts, forms, automations, settings) live in the left sidebar
  • Most "doing the work" tools (boards, chats, docs, files, milestones, feedback) live in the right sidebar
  • AI Manager is a floating panel, ⌘J from anywhere

If you're sure the feature should exist and you can't find it, it might be plan-gated. Check Settings > Billing against Plans.
